Using the Change Title Link Helper to Link Blank Order Line to a title record or Change link of the current order line’s title to a new title record

You can use the Change Link Title helper to change the link of an order line from one title record to a new title record or link a blank order line to a title record.

 

Linking blank order line to a title record

An order line becomes blank when the link between the order line and the title record is broken. The most common cause of this is transferring the item ID from the temporary on-order record to a new record. Once the link is broken, there will be a blank line in the order record for the title. If you overlay a temporary on-order record with a permanent record, the link is retained.

  1. Open the Modify Order wizard under the Orders group of wizards under the Acquisitions toolbar.
  2. A search window will open. Like the search window in the Display Order wizard, you can search by Order ID, Title, Packing List, etc. The defaults for the search window are set by the Session Settings wizard.
  3. Double-click on the correct order record if you searched by order ID or correct title if you searched by title, etc.
  4. Double-click on the correct blank order line that you wish to link to the new title record. 
  5. Click on the Title Info tab.
  6. Select the Change Title Link helper.
  7. You can search by call number or item ID, but not both. You can also use the gadget next to the item ID field to perform a search.
  8. Click OK.
  9. It will automatically link the order line to the item ID or call number you entered.
  10. Click Save Your Changes.
  11. Click Save Your Changes again. After this change, the information under the Segments tab remains the same, such as unit price, extended price, amount paid, etc.


Change link of the current order line’s title to a new title record


You might want to change the title link, for example, if you realize that the item is in a different format than the original title record. Make sure that your item record is on the correct record if the item record was created before you changed the link. This helper only changes the link between the order line and the title record.


In the example below, I am changing the link from a audiobook record to a book record for the title Picnic at Hanging Rock.


  1. Open the Modify Order wizard under the Orders group of wizards under the Acquisitions toolbar.
  2. A search window will open. Like the search window in the Display Order wizard, you can search by Order ID, Title, Packing List, etc. The defaults for the search window are set by the Session Settings wizard.
  3. Double-click on the correct order record if you searched by order ID or correct title if you searched by title, etc.
  4. Double-click on the order line of the title that you wish to link to the new title record. 
  5. Click on the Title Info tab.
  6. Select the Change Title Link helper.
  7. You can search by call number or item ID, but not both. You can also use the gadget next to the item ID field to perform a search.
  8. Click OK.
  9. It will automatically link the order line to the item ID or call number you entered.
  10. Click Save Your Changes.
  11. Click Save Your Changes again. After this change, the information under the Segments tab remains the same, such as unit price, extended price, amount paid, etc.
