Library Instructions for Bulk Patron Purge

Modified on Fri, 20 Jun at 10:47 AM

When it's time to remove expired or inactive patrons from your system (aka a patron purge), the WYLD staff can run a Remove Users Report based on certain criteria. Keep in mind that the report will not remove users with active holds or current checkouts.

To set up a Remove Users Report for you, we need a little info. When you submit your FreshDesk ticket, please include the following information:

  1. What calendar date OR how many years should we use as the cutoff for inactive or expired patrons?
  2. Should we calculate that time period using their last activity date OR the expired date?
  3. Does the purge include your branch libraries? If so, do you need a separate list of patrons per library?
  4. Do you want to purge patrons with fines? If so, what is the total amount of fines that should have to be included in the purge? For example, "patrons owing less than 10.00." Note: we cannot filter by bill reason.
  5. Should any particular user profiles be included or excluded?
  6. Are there any user profiles that you would like to separate out, to go into a separate report?

Then we will produce a purge list for you to review, before the final report is run. That list will come in the form of a spreadsheet with the following data:

  • Barcode
  • Patron full name
  • Profile
  • Library
  • Address
  • Apt / Suite
  • Cite / State
  • Zip Code
  • PO Box
  • Comment
  • Last Activity
  • Total Bills
  • Delinquency Status
